This policy explains which personal data Experus BV collects through experus.com, why, and for how long. Experus BV is the controller of that data.

What we collect and why
When you use the contact form
When you send a message through the contact form, we receive your name, email address, the service you chose and your message, and, if you fill them in, your company name and phone number. The message arrives in our mailbox as an email.
We use it only to answer your enquiry and, if you ask for it, to prepare a proposal. The legal basis is taking steps at your request before entering into a contract, and our legitimate interest in answering questions about our services.
When you visit the website
Like any web server, ours records technical data about each request in its logs: your IP address, the date and time, the page requested, the browser you use and the page you came from. We use these logs only to keep the website secure and working, for example to investigate an attack or an error. The legal basis is our legitimate interest in a secure website.
Statistics
To see which pages are read, we use Umami, a statistics tool that we host ourselves on our own server in the European Union. No third parties are involved.
Umami sets no cookies and stores no IP addresses or other personal data. It only keeps anonymous totals: the pages visited, the referring website, the browser, the type of device and the country. It does not follow you across websites, and the totals cannot be traced back to you.
Your theme preference
If you choose a light or dark theme, your browser remembers that choice locally. It is never sent to us.
Cookies
This website uses no cookies: no tracking cookies, no advertising cookies and no analytics cookies. That is why it shows no cookie banner. The fonts are served by the website itself, so your browser contacts no third parties when you visit.
How long we keep it
- Contact form messages on our server: only until they are delivered to our mailbox, normally a few seconds. If delivery fails, until it succeeds.
- Contact form messages: 12 months after our last contact, if no assignment follows.
- If an assignment follows: for as long as we work together, and invoices and accounting records for the 10 years Belgian accounting and tax law require.
- Server logs: at most 14 days.
- Umami statistics: these contain no personal data and are kept as totals.
Who receives your data
We do not sell your data and do not share it for advertising. Three service providers process data on our behalf: Amazon Web Services (Amazon SES), which delivers contact form messages from the website to our mailbox; Microsoft (Microsoft 365), which hosts our email; and the provider of the servers this website runs on. All three are bound by a data processing agreement. Where a provider processes data outside the European Economic Area, it does so under the safeguards of the GDPR, such as the European Commission's standard contractual clauses.
For clients, the processing of personal data during an assignment is governed by our General Terms.
Your rights
You have the right to access your personal data, to have it corrected or deleted, to restrict or object to its processing, and to receive it in a portable format. To exercise these rights, email info@experus.com or use the contact form. We reply within one month.
If you believe we are not handling your data correctly, you can lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit, Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be).
Security
The website is served only over an encrypted connection (HTTPS). Access to our servers and mailbox is restricted and protected, and we keep the software up to date.
Changes
We update this policy when the way we handle personal data changes. The date at the top shows the latest version.
